Choose Google Drive when your work begins in Google Docs and Sheets; evaluate OneDrive first when Word, Excel and Microsoft 365 already drive your day. For a wider comparison that also includes Dropbox, see Google Drive vs OneDrive vs Dropbox. Free capacity matters, but file compatibility and permissions can cost more time than a small storage saving.
Updated 3 October 2026. This is a documentation-based decision guide, not a speed benchmark. Examples below are suggested tests for your own account.
Google Drive vs OneDrive at a glance
| Question | Google Drive | OneDrive |
|---|---|---|
| Standard free cloud allowance | 15 GB shared with Gmail and Photos | 5 GB cloud allowance, shared with relevant Microsoft content |
| 100 GB consumer plan | Google One Basic | Microsoft 365 Basic |
| First workflow to evaluate | Google-document collaboration | Microsoft-document collaboration |
| Decision test | Can your reviewers complete the task and export cleanly? | Does your actual subscription include the apps and sharing controls you need? |
Free storage: compare remaining space
The standard allowances are 15 GB for a Google account and 5 GB for Microsoft cloud storage. They are not necessarily empty file-storage buckets: existing email, photos and other qualifying content consume capacity. See Google’s storage explanation and Microsoft’s storage FAQ.
Before moving, measure the folder you actually plan to upload. Allow room for the next project and keep a separate copy of irreplaceable work. A free allowance is useful only if the complete workflow fits inside it.
Paid storage: compare the same billing period
The US pages checked for this update list Google One Basic at $1.99 per month for 100 GB, and Microsoft 365 Basic at $1.99 per month or $19.99 per year for 100 GB. Microsoft 365 Personal lists 1 TB and desktop Microsoft apps at $9.99 per month or $99.99 per year. Basic and Personal therefore serve different needs; do not assume a storage subscription includes desktop Office.
Check the Google One plans and Microsoft plans for your country, taxes, eligibility and renewal terms. These are a dated US snapshot, not a local quotation.
Documents: test a real deliverable
If most of your team already reviews Google documents, start there. If your clients expect complex Word documents or Excel workbooks, evaluate the Microsoft workflow using those exact file types. Neither preference proves that every imported file will retain its formatting.
Use an anonymised document with a table, headings, comments and an image. Complete one review cycle, then open the final export in the client’s intended application. Check page breaks, formulas where relevant, links and revision visibility. Record what broke rather than relying on a brand-level compatibility claim.
Sharing: audience and role are separate choices
Microsoft documents specific-people links and broader link audiences, subject to account and administrator restrictions. Folder editing can permit substantial changes. Google’s sharing guide covers viewer, commenter and editor roles. Read the OneDrive sharing guide and Drive sharing guide before choosing a role.
Write two separate requirements: who should open this file, and what should they do with it? A client who only needs the approved PDF should not automatically receive broad editing access to your working folder.
A migration checklist before you switch
- Inventory working files, shared documents and final exports.
- Identify who owns each shared item; do not assume a copied folder transfers every permission or comment.
- Move one small, non-sensitive project first.
- Ask a collaborator to open, review and download the intended files.
- Check formatting and compare the file count with your inventory.
- Keep the original until the receiving workflow passes your checks.
Which is better for students and small teams?
For a student, check the school-provided account before paying: its quota, sharing policy and access after graduation may determine the choice. For a small team, start with the document ecosystem colleagues already understand, then verify ownership and offboarding. Consumer storage capacity alone does not answer team administration requirements.
Frequently asked questions
Does Google Drive offer more free storage?
The standard consumer allowance is larger: 15 GB versus Microsoft’s 5 GB cloud allowance. Compare remaining capacity and shared-storage usage, too.
Does Microsoft 365 Basic include desktop Word and Excel?
Do not treat Basic as the desktop-app subscription. Compare the exact plan inclusions; the Personal plan checked for this guide explicitly includes desktop apps.
Can I move everything in one step?
A copy of files is not a verified migration of ownership, permissions and document behaviour. Test a small project before moving the rest.
